Shipping from the phone app

Find a shipper, load it, pack it, rate it, and buy and print its label from DataMagik Mobile.

The phone app has two shipping tiles on Home: Shipping and Parcel + LTL. Both open the shipping screens. Pick your plant first, on Me under Plant. Until you do, the screens say Pick your plant on the Me screen first.

Permissions: the phone needs the DataMagik Mobile license, and the Shipping license for parcel. The shipping screens need DataMagik Mobile - Shipping or DataMagik Mobile - Parcel and LTL. Buying or voiding a label needs DataMagik Mobile - Buy or Void Carrier Labels and Shipping - Buy or Void Labels, and your PIN. The roles DataMagik Mobile - Shipping Clerk, DataMagik Mobile - Shipping Lead and DataMagik Mobile - Admin hold all of these. A person who buys labels signs in on their own phone, not with a badge on a shared device.

Find a shipper

The Shipping screen has two tabs.

• By shipper lists today's open shippers. Type in Find a shipper by number or customer, or scan a shipper label. A number that is not in the list is looked up in Plex, so a shipper from another day still opens. Each card says whether the shipper is On truck or Ships on its own, and how many lines are loaded. Shippers already shipped are under Shipped today, and trucks being loaded are listed below.
• By truck: scan or enter a Truck or trailer number. It takes you through every shipper on the truck.

A shipper's screen shows its lines and what is already loaded, with Scan load this shipper, Ship this shipper, Pick list, and, for parcel, Parcel.

Pick and load

Pick list shows what to pick for the shipper, grouped by location so you walk it once, with the oldest container of each part marked oldest first.

Scan load loads containers onto the shipper in Plex:

1. Scan a door, trailer or shipper. A truck with several shippers asks you to scan the shipper label first.
2. Scan each container or master unit.

Each scan is held for 10 seconds before it goes to Plex, with an Undo button, because Plex has no unload. The last container a shipper needs is kept back: scanning it loads it and ships the shipper in one step, in Ship mode or when you close the truck. Nothing ships short.

Pack

On a shipper's Parcel screen, open Packaging. Each overpack ships on one label, and a loose box ships on its own.

• Tap a box, then choose where it goes under Move to: another overpack, Loose (own label), or New overpack. Or scan a box, then scan the overpack it goes on.
• Set each overpack's Overpack type, and its weight from the scale in Weighed (lb).
• Under Box details, change a box's type or weight and press Save box. This is written to Plex at once.
• If a container type has no dimensions, enter the Length, Width and Height and press Save dimensions.

Save packaging saves which boxes are on which overpack. Build in Plex also creates the new overpacks in Plex. Changes you have not saved stay on the phone and are used for the rates.

Rate and buy the label

The Parcel screen shows the profile in use and Why this profile. A test profile shows TEST labels · not billed.

1. In Confirm mode, the Locked from the order card shows the Ship via, Service, Freight terms and Payment terms from Plex, and Freight billing. In Rate shop mode, carriers are compared. You can switch only if the profile allows it.
2. If Plex's service is not mapped, pick the carrier service. A shipping admin can tick Remember this mapping so it maps by itself next time.
3. Press Get rates, sort by Cheapest or Fastest, and pick a rate.
4. Choose the printer in Print the label on, and the Label format, if the profile allows. Printers that are not label printers cannot be chosen for a ZPL label.
5. Press Buy label and enter your PIN.

The label is bought, printed and written to Plex as on the web. Buying a label does not ship the shipper in Plex. When your profile asks for it, the screen reminds you to ship it on Scan load with its last container.

Your PIN

Buying and voiding labels ask for your own DataMagik Mobile PIN, 4 to 8 digits. Set it on Me → Set my PIN. After you enter it, it is good for 5 minutes, so further buys and voids in that time do not ask again. Five wrong tries lock it for 15 minutes. If you forget it, ask your Mobile Admin to reset it.

Labels, reprints and voids

Labels lists the shipper's labels. Press Reprint to print a parcel label again, or Void and your PIN to void it. Return labels, manifests and pickups are done on the web workstation.

Customs and paperwork

For an international shipment, open Customs + paperwork. It lists each item with its description, HS code, quantity and value, and how many are missing. Fix missing customs data in Plex. Once the label is bought, each customs form is listed under Paperwork with View and Print. Choose the printer in Print forms on.

Close the truck

On a truck's screen, load each shipper in turn, then fill in Seal, Trailer and BOL and take a load photo. Close truck is ready once every shipper is loaded, the seal is on and there is a load photo. Closing asks you to scan the last container of each shipper, which ships it in Plex. Afterwards, Proof of shipment keeps photos (Load, Door, Seal, Damage) and the driver's signature with the truck.
